What it catches
"What it catches" is the set of office mistakes TapeAndFloat flags in your jobs sheet before they cost money. It runs 4 checks on every job: change orders, invoices, Texas lien notices and waivers, and crew double-bookings.
Your jobs live in one Google Sheet that you already know how to use. The assistant checks every row and flags what needs a look. Here's what that looks like.
Everything below is made-up sample data for illustration. The companies, people and addresses are not real.
1. Change orders: approved in writing? Billed?
Every extra the GC asks for by text or email becomes a row. If there's no written approval, or no matching line on an invoice, you'll see it.
| CO # | Job | GC | Scope | Amount | Written approval | Invoiced | Flag |
|---|---|---|---|---|---|---|---|
| CO-112 | Oak Hollow Lot 14 | Sample Homes LLC | Hang & finish garage, Level 2 | $1,850 | Text only: "go ahead" | No | Not billed Approval by text only |
| CO-113 | Ridgeview Remodel | Example Builders | Skim coat, Level 5 living room | $2,400 | Signed 10/12 | INV-2041 | OK |
| CO-114 | Oak Hollow Lot 9 | Sample Homes LLC | Extra soffit, 2 bulkheads | $640 | None | No | No approval |
2. Invoices: past due or never sent
| Invoice | Job | GC | Amount | Sent | Days out | Flag |
|---|---|---|---|---|---|---|
| INV-2033 | Mueller Townhomes B | Demo Construction | $9,200 | Aug 29 | 53 | Past due, 2nd reminder drafted |
| (none) | Ridgeview Remodel | Example Builders | $3,100 final | Not sent | – | Job done 10/14, no invoice |
| INV-2041 | Ridgeview Remodel | Example Builders | $2,400 | Oct 13 | 8 | Current |
3. Texas lien notices and waivers
For each unpaid job, the assistant works out the notice date from when the work was done, and flags lien waivers that are missing on paid draws.
| Job | Type | Work month | Unpaid | Notice due | Waiver | Flag |
|---|---|---|---|---|---|---|
| Mueller Townhomes B | Residential | August | $9,200 | Oct 15 | – | Notice date passed, call today |
| Oak Hollow Lot 14 | Residential | September | $6,750 | Nov 15 | – | 25 days left |
| Ridgeview Remodel | Residential | October | Paid draw 1 | – | Missing | Waiver not received |
Dates are reminders based on general Texas rules, not legal advice. Check specific jobs with a construction attorney.
4. Crew schedule: double-bookings
| Date | Crew | Job | Task | Flag |
|---|---|---|---|---|
| Thu 10/23 | Crew 2 (Luis) | Oak Hollow Lot 14 | Tape & float | Crew 2 booked twice |
| Thu 10/23 | Crew 2 (Luis) | Mueller Townhomes B | Punch list (moved from 10/21) | |
| Thu 10/23 | Crew 3 (Marco) | Ridgeview Remodel | Texture | OK |

Frequently asked questions
Does it fix mistakes on its own?
No. It flags the row and drafts a fix, such as an invoice line or a reminder, and you approve it. Nothing goes out without your OK.
Which lien rules does it use?
It uses Texas Property Code Chapter 53 for contracts entered on or after January 1, 2022. Dates are estimates for office planning, not legal advice.
Do I need to change how I keep jobs?
No. If you already track jobs in a spreadsheet, the checks run on a Google Sheet copy of it. If you use a whiteboard, we set up the sheet with you during the pilot.
